How It Works Remotely

Setup Process:

  1. Client provides access to email account and calendar (Gmail, Outlook, etc.)
  2. You create standard operating procedures document
  3. Establish communication preferences and response templates
  4. Set up shared access to scheduling tools (Calendly, Acuity, etc.)

Daily Workflow:

  • Morning: Review overnight emails and update calendar
  • Process emails according to priority system
  • Schedule any new appointments
  • Send daily summary of actions taken
  • Evening: Prepare next day’s priorities

Tools You’d Use:

  • Email platforms: Gmail, Outlook, Apple Mail
  • Calendar apps: Google Calendar, Outlook Calendar
  • Scheduling tools: Calendly, Acuity Scheduling
  • Communication: WhatsApp, Slack, or email for client updates
  • Task management: Trello, Asana or other for tracking requests (client to provide preference)

Client Communication:

  • Daily email summary of activities
  • Weekly report of email/calendar statistics
  • Immediate notification for urgent matters
  • Monthly review meeting to optimize processes

Boundaries & Expectations:

  • Clear working hours (e.g., 8 AM – 5 PM weekdays)
  • Response time expectations (within 2-4 hours during business hours)
  • Types of emails you will/won’t handle independently
  • Emergency contact procedures

    Service Breakdown

    Email Management:

    • Monitor client’s email inbox daily (or as agreed – 2x/day, hourly during business hours)
    • Sort emails into folders/labels (urgent, clients, vendors, personal, etc.)
    • Respond to routine inquiries using pre-approved templates
    • Flag important emails requiring client’s personal attention
    • Delete spam and unsubscribe from unwanted lists
    • Draft professional responses for client approval

    Calendar Management:

    • Schedule appointments and meetings
    • Send calendar invites and meeting confirmations
    • Coordinate meeting times between multiple parties
    • Set up recurring appointments
    • Send appointment reminders to clients/attendees
    • Block out time for important tasks or personal time
    • Reschedule conflicts and notify all parties
